Submitted Forms Folder Permissions

This video shows you how to manage folder permissions for submitted forms. This is a useful setting for you to manage users’ access to the submitted forms folders. If you haven’t done so already, the first thing you’ll need to do is add the user to the account. You will need to enter the name, email address and business name (or enter N/A if not applicable) and then select the permissions for their account. If all you want the user to be able to do is view and manage submitted forms then just tick ‘Access Submitted Forms’. Please note that users with only basic admin permissions are free to add, but if you need to give them advanced admin permissions this will require an additional user licence to be purchased. If you’re unsure whether you require an additional user license please get in touch with us at support@ipegs.co.uk. Next you will need to go to Submitted Forms and again, if you haven’t done so already, you will need to create the folder that you want to allow access to. Give the folder a name and then click on ‘Add’. Then set the permissions for the folder. Enter the email address of the user, then click on the Access dropdown list. There are two options here: Allow Access and Prevent Access. By default, if no users are added to a folder then it will be accessible by all users. Once users are ‘allowed access’ to a folder only those users will be able to access the folder and it will be disabled for all other users. However there is no limit to how many users can access a folder - so if you need to give several users access then simply add each user individually and ‘allow access’ for each one. If you ‘prevent access’ for a user they will be unable to access that folder, but it will be accessible by all other users and there is no need to ‘allow access’ for these. Scenarios: 1. You need a folder to be accessible by all users - Do not set any permissions on the folder. 2. You need a folder to be accessed by certain individuals only - Simply add each of these users and ‘allow access’ for each one. 3. You need a user to be able to access certain folders only - Simply ‘prevent access’ for this user to all folders except the ones you need them to be able to access.
